Login and register in SalesBook

To log in and register, you need to click on the |login| button on the site registration|. During the registration process, you need:

  1. 1. Enter your e-mail

    E-mail is the login. Important messages will arrive in your inbox. E-mail cannot be changed after registration. You can change the login only by "deleting the user account" and going through a new registration procedure.

  2. 2. Further instructions for registering on Salesbook will be sent to the specified e-mail

    After registration, you can enter SalesBook using your login and password.

Frequently asked questions:

In this case, you can click the "Forgot your password?" button, SalesBook will prompt you to enter your e-mail (login) and after clicking the "Reset password" button, will send password recovery instructions to the specified e-mail.
If you want to delete your account in SalesBook, then in the menu "Profile/Personal data" you need to click on the button "Delete user account" or send a letter to the mail (hidden) with a message that you want to delete the account. But we will miss you :)

Participation in APS tenders

To participate in the tender, choose the tender you are interested in through search and filtering or by navigating through the list of tenders.

By clicking on the tender, you can view general information about the tender, and if necessary and if you wish to participate, switch to the APS site where this tender is held ("Go to the tender" button.) Access to the site is paid in accordance with the Tariffs. Participation in tenders at APS sites is free.

If the tender is organized by Salesbook, you can still view and participate in tenders for free, as well as use most other Salesbook services (creating your own procedures, announcements, individual notifications, etc.) for free.

To take part in the selected tender, you need to be registered on the APS site, to which you have transferred.

The tender can be in the following states:

  1. Published

    Acceptance of proposals has not yet started and the timer indicates how much time is left until the start of submission of proposals.

  2. Acceptance of proposals

    Acceptance of proposals has already started and the timer indicates how much time is left until the end of submission of proposals.

  3. Analysis of offers

    Acceptance of offers is over, the timer shows zeros.

  4. Completed

    The tender is complete, the timer shows zeros.

Frequently asked questions:

Registration on SalesBook does not mean automatic registration on APS SMART sites. You need to register on this APS SMART site too.
Salesbook simply collects data about existing tenders. The owner of the tender on the APS site can cancel it, change the time and conditions of holding at any time, Salesbook is not the owner of the APS tender.

Creating and publishing a tender on SalesBook

Creating a tender

To create a tender, you must be registered, and in your profile, in the "Company data" tab, the company code (EDRPOU or IPN), company name must be indicated.

In the "Profile / My tenders" menu, click the " + Create a tender" button

Fill in the following data:

  1. Name

    The name describes your tender. Enter information that, if possible, fully describes the purpose of your tender, for example "Purchase of bearings for the repair of agricultural machinery". Remember your potential contractors, they often search for a tender using keywords such as: "bearings", "purchase", "repair of equipment".

  2. Region

    Specify the region to which your tender belongs. This can be the region of shipment or the region of receiving the goods, depending on your goals. Specify what best meets the objectives of your tender. Potential contractors can find your tender using filtering by region.

  3. Categories of the CPV nomenclature

    We use the CPV directory (classifier DK 021:2015). Enter the CPV code of any level for the tender. Potential contractors can search for your tender using this classifier.

  4. Description

    Enter a detailed description of products, services, goods.

  5. Type of publication

    The open publication type means that your tender will be available to all registered Salesbook users.

    If you want to hold a tender among a limited number of companies:

    • specify the type of publication "Closed"
    • in the "List of invited guests" field, enter the e-mails of counterparties who have the right to participate in the tender. This tender will not be visible to other companies.

  6. Proposal submission period

    Specify the beginning and end of the acceptance of offers of your tender.

  7. General requirements

    You can specify a requirement for the counterparty that he must agree to in order to submit his offer. For example, "Availability of a license to perform work" or "Agreement with the proposed text of the contract."

    The counterparty will have to explicitly confirm its agreement with the specified requirement in the system when submitting an offer.

    If the counterparty does not agree with your request, he will not be able to send you an offer.

  8. Position criteria

    By default, there is a "Price" field for each specified item. That is, the counterparty is obliged to indicate the price for the position. If, in addition to the price, you need to receive additional information from the counterparty for each position, then add the position criterion to the tender.

    Example:

    There are two positions in the tender - "passenger car" and "truck". It is necessary for the counterparty to indicate the "manufacturer" for each item when submitting an offer. Add a position criterion of type "text" with the name "Manufacturer".

    Then the counterparty will be able to indicate the price and the manufacturer "BMW" to the first position "passenger car", and the counterparty will be able to indicate the price and the manufacturer "DAF" to the second position "truck".

    Similarly, you can require the counterparty to specify a delay in days for each position. To do this, add a position criterion of type "numeric" with the name "Delay in days".

  9. General criteria

    If you want counterparties to indicate the deferral in days for all positions, and not for each position, then you need to add a "Numeric" type criterion with the name "Deferral in days" to the general criteria.

    These criteria apply to all positions at the same time.

    For example, if the counterparty indicated an answer to the general criterion "deferral in days" of 30 days, it means that the counterparty provides the specified deferral for all positions with a price.

    In our example, the delay of 30 days will be immediately for both positions: "passenger car" and "truck".

  10. List of invited guests

    You can specify the e-mails of the counterparties that you would like to inform about the fact that you are holding a tender. When the tender is published, an invitation to participate in your tender will be automatically sent to the indicated e-mails.

    If you have a list of e-mails, enter them in this field separated by a semicolon.

  11. List of documents

    Attach the documents to the tender that you consider necessary. It can be a contract template, a detailed product specification.

Tender publication

  • Click the Preview and Publish button. After that, the preview interface of the created tender will open

  • In tender preview mode, if everything suits you, click the "Publish" button. Or you can go back and continue editing the tender.

Stages of conducting a tender for SalesBook for the Organizer

  1. Preparation of documentation.

    At this stage, you create a tender and fill it with the necessary data. You can preview your tender and publish it, or go back to editing it. After publication of the tender, it will no longer be possible to change its data.

  2. Acceptance of proposals

    After the publication of the tender, a timer starts counting down the time until the start of accepting offers. As soon as the offer acceptance period begins, potential counterparties will be able to submit offers to your tender.

    When accepting offers, you have the opportunity to invite the counterparty(-ies) by specifying the desired e-mail address(-es).

    You can also change the end time of accepting offers (shorten the deadline or extend it), and if you click on the "Finish early" button, accepting offers will be stopped and the tender will be transferred to the next stage..

  3. Data processing and decision selection

    At this stage, you can view the final received offers. You can view offers by position and by each counterparty.

    If you are not satisfied with the received offers, you can resume accepting offers. After pressing the appropriate button, the tender will be returned to the offer acceptance stage.

    At this stage, you need to make a decision on the tender:

    • The tender is closed with the winner(-s). To do this, specify the winning counterparty for the position. It is not necessary to indicate the winner for each position - it is up to you to decide who won and in which position.

    • The tender is cancelled. Click the appropriate button. It is not necessary to choose the winners. If winners have been designated, clicking this button will cancel the specified companies as winners.

    After choosing a solution, it must be approved. To do this, press the button corresponding to your decision in the "Go to decision approval" section

  4. Published.

    This is the last stage where you can change the selected solution. If you click on the "Approve decision" button, the tender will be permanently moved to the archive.

    To change the decision, click the "Return to decision selection" button.

  5. Completed.

    The tender is completed with the indicated and approved decision. It is impossible to change the tender data that is in the archive.

Participation in SalesBook tenders

To participate in the tender, select the tender you are interested in using search and filtering or by navigating through the list of tenders. You can familiarize yourself with the detailed content of the tender by clicking on it. When viewing the detailed content, there is an action button on the left, depending on the current state of the tender, the button may be called "Participate", "Go to the tender".

* Participation in tenders is free.

The tender you are interested in can be in the following states:
  • Published. Acceptance of proposals has not yet started and the timer indicates how much time is left until the start of submission of proposals

  • Acceptance of offers. Acceptance of proposals has already started and the timer shows how much time is left until the end of submission of proposals. When you click on the "Participate" button, you can submit offers, for this you need to be registered on SalesBook.

  • Analysis of offers. Acceptance of offers is over, the timer shows zeros. If you submitted an offer for this tender earlier, the system will display your offer.

  • Completed. The tender is complete, the timer shows zeros. If you submitted an offer in this tender, you will see your offer and the Customer's decision based on the results of the received offers - whether you are selected as a winner or not.

Create and publish an advertising on SalesBook

Create an ads

To create an ad, you must be registered, and in your profile, in the "Company data" tab, you must specify the company code (YEDRPOU or TIN), the name of the company, and in the "Personal data" section, your phone number must be specified.

In the "Profile / My ads" menu, click the "+ Create an ad" button.

Fill in the following data:

  1. Buy / sell

    Specify the purpose of your ad. If these are services, then you can also sell (you provide services) or buy (you need services) services.

  2. Title

    The title briefly describes your ad. Specify information that, if possible, fully describes the purpose of your ad, without using the words "Buy" or "Sell". Remember your potential counterparties, they often search for ads using keywords such as: "bearings", "office equipment", "repair of equipment".

  3. Region

    Specify the region to which your ad belongs. This can be the region of shipment or the region of receipt of goods / provision of services, depending on your goals. Specify the one that best matches the goals of your ad. Potential contractors can find your ad using filtering by region.

  4. CPV category

    We use the CPV directory (classifier DK 021:2015). Enter a CPV code of any level for the ad. Potential counterparties can search for your ad using this classifier.

  5. Price

    Specify the price, it can be contractual or have a numerical value. If you specified a numerical value, you can specify additional price features: "price with delivery" and specify the address, or "price without delivery".

  6. Currency

    Specify the currency of the price. In addition to the hryvnia, the price can be expressed in dollars or euros.

  7. Units of measurement

    If possible, specify units of measurement. It will be easier for potential counterparties to navigate the prices.

  8. Main photo

    Be sure to upload a photo to your ad. It does not necessarily have to be your photo, you can attach any (but, we remind you that you need to respect the copyright of any content) that, in your opinion, best describes the ad.

  9. Description

    Enter a detailed description of products, services, goods.

  10. Deadline for publication of the advertisement

    The term of publication of one advertisement is 60 days. Information is often out of date, and Users need to deal with up-to-date announcements. After 60 days from the date of the first publication, the ad will be automatically moved to the archive.

  11. List of documents

    Attach the documents to the announcement that you consider necessary. It can be a detailed specification for a product or a certificate.

  12. Receive feedback on advertisements by e-mail

    If the check box is enabled, all user comments / feedback on your ad will be duplicated to your e-mail. In this way, you will be able to quickly receive information about feedback on your ad.

Publication of an ad

  • Click the Preview and Publish button. After that, the preview interface of the created ad will open

  • In the preview mode, if everything suits you, click the "Publish" button. Or you can go back and continue editing the ad

Stages of announcement for the Author

  1. Preparation of announcement

    At this stage, you create an ad and fill it with the necessary data. You can preview your ad and publish it, or go back to editing it.

  2. Publication

    After the first publication of the ad, a timer starts counting down the time until the end of the publication, which is 60 days. After publication, any registered user can write feedback on your ad.

    You can also change the content of the ad by clicking the "Edit" button or complete the publication and move the ad to the archive

  3. Archive

    There are outdated ads in the archive. If your ad is out of date, move it to the archive

View the ad and leave a comment on the ad

Find the ad that interests you through search and filtering or by navigating through the list of ads.

You can familiarize yourself with the detailed content of the ad by clicking on it. If necessary, you can write a message to the Author of the ad and attach files to the message. Your message will be available only to the Author of the ad, other users will not see it.

Creation and publication of the Company's business card on SalesBook

On the main page of the Salesbook platform, you can search for information about the participating company and its trading procedures with a link to the list of tenders and announcements of this company.

Creating a business card

To create a business card of the Company, you must be registered, and in your profile, in the "Company data" tab, the company code (EDRPOU or IPN), the name of the company, and your phone number must be specified in the "Personal data" field.

It is possible to create a Company business card from the Main page of the platform, the "Companies" tab, click the "+ Create business card" button. Or from your Cabinet - "Settings", the "Company" tab will open, which you need to fill out.

Fill in the following data:

  • 1. Contact (personal) data
    Fill in the necessary information in the fields in the block - name, phone, position, etc.
  • 2. Company data
    Enter company data in the list of form fields: basic data, address (legal and physical address), registration data, contacts/personnel of responsible persons. In the "About us" section - provide a short description of your company and its services and products. Include a logo image or picture that best represents your business. The image file must be small in size for correct uploading, in standard formats - .jpg, .png.
  • 3. Section "Trading activity"
    It consists of 2 blocks "I buy" and "I sell". Choose the appropriate one for your need/activity
  • 4. The term of publication
    The term of publication of the business card of the company is indefinite

Business card publication:

  • Click the Preview and Publish button. After that, the preview interface of the created ad will open
  • In the preview mode, if you are satisfied with everything, click the "Publish company business card" button. Or you can go back and continue editing the business card.

"Linked" data and Lists of Advertisements, Tenders and Business Cards

The system links data related to thematic blocks: business card "Company", "Company Tenders" and "Company Announcement". In the user's personal account, you can view relevant information for these thematic blocks. The system forms short lists of tenders and company announcements. Lists are not edited by the user.

When clicking on the relevant tender or announcement, the logic works - if the Author of the tender, then information about his own tender/announcement is opened to him, if the user is not the Author (the Author can be another employee of the company), then information about the tender/announcement for an external user is opened to him.

Stages of publishing a business card for the Author

  • 1. Preparation of a business card (draft)
    At this stage, you create a business card and fill it with the necessary data. You can preview the business card and publish it, or go back to editing.
  • 2. Publication
    You can change the content of the description About the company or its trading activity, this can be done in your personal account by going to the "Settings" menu, making edits and clicking the "Save changes" button
